We’re looking for a Admin / Sales Liaison:

We’re looking to hire a rockstar. Someone that loves to observe the world around them and then make it a better place. WHAT YOU’LL DO:

Admin:
Answer phone calls, document call information and direct info/clients to the proper place, while maintaining client information in company CRM.
Maintain our 3-hour response time to all phone calls and inquiries.
Buzz in visitors with the building bell system.
Welcome visitors to the office and make them feel comfortable, including buzzing in clients and greeting visitors when they walk in.
Coordinate and schedule meetings & presentations in the office and manage company calendar.
Order office supplies, food, samples, and all technical supplies to the office.
Collect office mail & packages and organize accordingly.
Manage all office spaces to maintain an up-to-date, fresh, clean, and organized space for clients and employees alike.
Clerical duties, such as scanning & printing documents, filing records, and making copies & faxes.
Manage employee timesheets and assist with payroll.
Assist in company letters, emails, and other such writing. Review files for spelling & grammar.
Provide support to administrators in company/administrative tasks.
Create invoices for initial payment & project monthly invoices.
Send reminders and follow ups for invoices to be paid.
Support the office staff with all project billing inquiries.


Sales:
Handle inbound sales calls, emails and proactively follow up on opportunities to potential and existing clients, while maintaining all client information in CRM.
Document tasks and correspondences in the company sales platform.
Analyze new project architectural plans & scope of work, evaluate new project timelines and budgeting & prepare project pricing for proposals.
Create and send project proposals and contracts using company templates.
Arrange meetings and discussions with clients to review prospective projects.
Reviews proposals contracts with clients.

Reach out to clients every 24 hours regarding proposals, agreements, updates, and mood boards.
Builds and maintains current client relationships.

Billing:
Send out invoices to clients throughout the design process.

Follow up for payments not received.


WHAT YOU’LL NEED:

Have an ability to thrive in a fast-paced and sometimes high-pressure environment.
Have a strong skill to communicate and influence others.

2+ years of experience in a related role.
Basic knowledge of interior design/architecture.
A customer-oriented attitude.
Excellent verbal and written communication skills.
Impressive interpersonal skills.
Strong organizational skills.
Proficient in Microsoft office suite.
Pipedrive knowledge is a plus.
