OK Kosher is looking for a professional Executive Assistant to support a key member of our upper management.
The Assistant will support the executive’s day-to-day work. This includes a heavy emphasis on written communication, both within the organization and with key and potential clients. The Assistant will also be expected to have a handle on the executive’s meetings, appointments and commitments.
The position will take place in a dynamic and ever-evolving workplace, with ongoing opportunities to learn new skills.
This is a full-time, in-person position located in Crown Heights, Brooklyn. Salary is commensurate with experience, and room for growth. We are looking for a long-term commitment for this position.
Responsibilities Include:
• Working closely with the executive to compose correspondence and documents.
• Editing and formatting documents to look streamlined and read professionally.
• Coordinating and booking travel, including preparing itineraries.
• Liaising between departments to schedule and prepare for remote and in-person meetings.
• Setting reminders for various tasks and meetings.
• Taking and editing clear meeting minutes.
• Answering and screening phone calls and messages.
• Hosting clients and escorting them to meetings.
• Keeping records updated in the OK’s internal system.
• Occasional research for and coordination of special projects.
The right candidate:
• Has prior experience in a corporate office environment.
• Is organized and methodical.
• Has a solid command of English writing and grammar skills.
• Is trustworthy with confidential subject matter.
• Is dependable and flexible shifting between tasks throughout the workday.
• Has a pleasant and professional phone manner.
• Learns processes and software thoroughly.
• Has a can-do attitude but isn’t afraid to ask for help or admit a mistake.
• Can pick up on instructions quickly.
• Has experience with Microsoft Excel, Outlook, PowerPoint, Word, Zoom and other common office software.
Pluses, but not required:
• Working knowledge of WordPress.
• Has experience with productivity tools and systems.
